Automated Message Service (AMS)
In the case of a disaster; you may want to consider implementing an Automated Message Service (AMS).
This is a useful tool to support both Switchboard recovery and Call Tree Communication. An AMS is simply a message recording that is put into place to communicate to both internal and third parties as to what is going on. The AMS helps to provide immediate information to interested parties as well as taking the communcation load off those parties involved in the crisis management operations.
Assuming that there has been a fire at the factory, an AMS on the switchboard may state "This is an automated recording; there has been a fire at the factory. All persons have been evacuated safely and the fire department are dealing with the crisis. We will update this message with further information as it is received"
An AMS platform must be able to facilitate a large number of incoming calls. Callers must have immediate access to the message rather than a busy signal.
